How to run a car garage in Oman

Whether you run a two-bay workshop in Muscat or a busy service centre in Sohar, the same handful of systems separate a smooth garage from a chaotic one. Here's what matters — and how to set it up without drowning in paperwork.

1. Start every car with a written quotation

The single biggest source of disputes in a garage is a job that started without a clear, agreed price. Before any spanner turns, the customer should see an itemised quotation: parts, labor and the total including VAT. A written quote sets expectations, protects you if the customer questions the bill later, and becomes the foundation for the job card.

Keep quotes fast to produce. If it takes ten minutes to write one by hand, your reception will skip it when they're busy — which is exactly when you need it most.

2. Turn the approved quote into a job card

Once the customer approves, the quote should become a job card without re-typing anything. The job card is the shop-floor version of the work: which technician is assigned, what parts to pull, and the status (waiting, in progress, waiting for parts, done). When your quote and job card are the same record, nothing falls through the cracks.

3. Track technicians and labor properly

Labor is where garages quietly lose money. Give each technician a default hourly rate, record the hours actually worked on a job, and decide per job whether labor is billed to the customer. When labor is tracked, you can see which jobs and which technicians are actually profitable — not just guess.

4. Keep parts and stock under control

If your quotes use out-of-date prices, your margins leak. Maintain a simple parts list with current prices so every quote and invoice is accurate, and so you know what's in stock before you promise a same-day repair.

Rule of thumb: if a number lives only in someone's head or a WhatsApp message, it will eventually cost you money. Put prices, hours and stock in one place everyone can see.

5. Invoice with VAT — and get paid

In Oman, auto repair invoices should include 5% VAT and a clear breakdown of parts and labor. A professional invoice (PDF, sent over WhatsApp) gets paid faster and looks trustworthy. 6. Keep customers updated on WhatsApp

Customers in Oman live on WhatsApp. A quick "your car is ready" message does more for repeat business than any advert.
